Phoebe Whittaker works as a Finance Assistant, within our Finance and Operations department. Her primary responsibilities include raising fee notes and private treaty invoices across all teams and offices, ensuring they are allocated to the correct department and asset class for month end reporting.
Offering a keen perspective, Phoebe provides key insights into her role that drives departmental efficiency.
Communication is always key when working within Hilco, confirming fee split allocations, and ensuring the information is correct on the fee note or private treaty invoices before finalising. The same goes for when colleagues are on site and need confirmation that funds have been received before they can release the goods. This information is required as soon as possible so they don’t experience any delays.
It is important for the finance department to maintain good relationships with the clients as some jobs are repeated; or the client may be on multiple live jobs across the company. Learning to manage expectations when speaking to clients over the phone or via email is vital.
To ensure information is accurate and the numbers balance, time needs to be taken when raising fee notes and setting up payments. Of course, mistakes happen, however, to minimise that risk, errors should be flagged immediately and then rectified.
